9. Audio and video conferences

Data processing

We use online conference tools, among other things, to communicate with our customers. The specific tools we use are listed below. If you communicate with us via video or audio conference over the Internet, your personal data will be collected and processed by us and the provider of the respective conference tool.

The conference tools collect all data that you provide/use to use the tools (email address and/or your phone number). The conference tools also process the duration of the conference, the start and end (time) of participation in the conference, the number of participants, and other "contextual information" related to the communication process (metadata).

Furthermore, the tool provider processes all technical data required for the processing of online communication. This includes, in particular, IP addresses, MAC addresses, device IDs, device type, operating system type and version, client version, camera type, microphone or speaker, and the type of connection.

If content is exchanged, uploaded, or made available in any other way within the tool, it will also be stored on the tool provider's servers. Such content includes, in particular, cloud recordings, chat/instant messages, voicemails, uploaded photos and videos, files, whiteboards, and other information shared during the use of the service.

Please note that we do not have full control over the data processing operations of the tools used. Our options are largely determined by the company policy of the respective provider. We offer you the opportunity to apply for a position with us (e.g., by email, post, or via our online application form). Below, we provide information about the scope, purpose, and use of your personal data collected during the application process. We assure you that your data will be collected, processed, and used in accordance with applicable data protection laws and all other legal provisions, and that your data will be treated as strictly confidential.

What data do we process about you? And for what purposes?

We process the data you send us in connection with your application to assess your suitability for the position (or other open positions in our company, if applicable) and to carry out the application process (e.g., contact and communication data, application documents, notes made during interviews, etc.).

What is the legal basis for this?

The legal basis for the processing of your personal data in this application process is primarily Art. 6 (1) lit. b) GDPR.

According to this, the processing of data that is necessary in connection with the decision on the establishment of an employment relationship is permissible.

Data from applicants will be deleted after 6 months in the event of rejection.

If you have consented to the further storage of your personal data, we will transfer your data to our applicant pool. The data will be deleted after two years.

If you are offered a position during the application process, the data will be transferred from the applicant data system to our personnel information system.

Your data may also be stored for a longer period if you have given your consent (Art. 6 (1) (a) GDPR) or if statutory retention obligations prevent deletion.

To whom is the data passed on?

We use a specialized software provider for the application process. This provider acts as a service provider for us and may also obtain knowledge of your personal data in connection with the hosting of job advertisements, (external) collection and transmission of your data, and maintenance and servicing of the systems. During the (online) application process, you will be forwarded to this external provider, who will collect your application data.

We have concluded a so-called data processing agreement with this provider, which ensures that data processing is carried out in a permissible manner.

Your application data will be reviewed by the Human Resources department upon receipt of your application. Suitable applications will be forwarded to the department managers responsible for the respective open position after the applicant selection process. The further procedure will then be coordinated. Within the company, only those persons who need your data for the proper execution of our application process have access to it.

Where is the data processed?

The data is processed exclusively in data centers within the EU/EEA.

Your rights as a "data subject"

You have the right to obtain information about the personal data we process about you.

11. Use of FTAPI (platform for secure data exchange)

To ensure the secure exchange of confidential information and documents, we use FTAPI. When you use this service, we process your email address, IP address, and log files. We store this data for as long as necessary to fulfill our obligations and, if applicable, to comply with statutory retention periods.

Your IP address and log data are stored for 90 days.

Storage and delivery uploads are deleted after 30 days.

The technical operation of our exchange platform is carried out by our processor FTAPI Software GmbH, Steinerstr. 15f, 81369 Munich, Germany, within the scope of order processing.
