If content is exchanged, uploaded or provided in any other way within the tool, this is also stored on the tool provider's servers. Such content includes, in particular, cloud recordings, chat/instant messages, voicemails, uploaded photos and videos, files, whiteboards and other information shared while using the service.
Please note that we do not have full control over the data processing operations of the tools used. Our options are largely determined by the company policy of the respective provider. Purpose and legal basis
The conference tools are used to communicate with prospective or existing contractual partners or to offer certain services to our customers (Art. 6 para. 1 lit. b GDPR). Which of your data do we process? And for what purposes?
We process the data that you have sent us in connection with your application in order to check your suitability for the position (or any other open positions in our companies) and to carry out the application process (e.g. contact and communication data, application documents, notes taken during interviews, etc.).
What is the legal basis for this?
The legal basis for the processing of your personal data in this application procedure is primarily Art. 6 para. 1 lit. b) GDPR.
Accordingly, the processing of data required in connection with the decision on the establishment of an employment relationship is permitted.
Should the data be required for legal prosecution after completion of the application procedure, data processing may be carried out on the basis of the requirements of Art. 6 GDPR, in particular to safeguard legitimate interests in accordance with Art. 6 para. 1 lit. f) GDPR. Our interest then lies in the assertion of or defense against claims.

How long will the data be stored?
Applicant data will be deleted after 6 months in the event of rejection.
In the event that you have consented to your personal data being stored further, we will transfer your data to our applicant pool. There the data will be deleted after two years.
If you have been accepted for a position as part of the application process, the data will be transferred from the applicant data system to our personnel information system.
Data may also be stored for longer if you have given your consent (Art. 6 para. 1 lit. a GDPR) or if statutory retention obligations prevent deletion.
To which recipients is the data forwarded?
We use a specialized software provider for the application process. This provider acts as a service provider for us and may also gain knowledge of your personal data in connection with the hosting of job advertisements, (external) collection and transmission of your data, and the maintenance and care of the systems. In the course of the (online) application process, you will be forwarded to this external provider, through which your application data will be collected.
We have concluded a so-called order processing contract with this provider, which ensures that the data processing is carried out in a permissible manner.
Your application data will be reviewed by the HR department after receipt of your application. Suitable applications are forwarded to the department managers responsible for the respective open position after the applicant selection process. The next steps are then agreed. Within the company, only those persons who need access to your data for the proper conduct of our application process have access to it.

Where is the data processed?

10. Use of FTAPI (platform for secure data exchange)
We use FTAPI to ensure the secure exchange of confidential information and documents. When you use the service, we process your IP address and log protocols in addition to your e-mail address. We store the data as long as this is necessary for the fulfillment of the task and, if applicable, for the fulfillment of legal retention periods.
Your IP address and log protocol data are stored for 90 days.
Storage and delivery uploads are deleted after 30 days.
The technical operation of our exchange platform is carried out by our processor FTAPI Software GmbH, Steinerstr. 15f, 81369 Munich, Germany, as part of order processing.
